Terms and Conditions

 

1. Services Provided

Writing to the Child™ (“we”, “us”, “our”) provides:

  • Training and CPD workshops
  • Consultancy for organisations
  • Speaking engagements
  • Framework-based sessions (STREAM™, ARC Sentence, CARES™)

All services will be confirmed in writing.

2. Bookings

A booking is confirmed when:

  1. You receive written confirmation from us, and
  2. Any required deposit or payment has been received.

Until both are completed, dates are not guaranteed.

3. Payment Terms

 

3.1 Deposits

  • Some services require a non-refundable deposit to secure your date.
  • This will be stated clearly in your invoice.
  • Deposits cover administration, preparation, and holding your booking date.

3.2 Full Payment

  • Full payment is due 14 days before the training or service date.
  • For bookings made with less than 14 days’ notice, payment is due immediately.

4. Cancellations, Refunds and Rescheduling

4.1 Cancellations by the Client

If you cancel your booking:

All deposits are non-refundable.

No refunds will be issued for cancellations.

You may request one reschedule, subject to availability.

If you cancel after full payment has been made:

No refunds will be given.

You may transfer your booking to a new date within 6 months, subject to availability.


4.2 Rescheduling

A minimum of 14 days’ notice is required to reschedule.

Rescheduling is allowed one time only.

Less than 14 days’ notice is treated as a cancellation with no refund.


4.3 Non-Attendance

If staff or attendees fail to attend, no refund is given.

The session will not be rescheduled without additional payment.


4.4 Cancellations by Us

If we need to cancel due to unforeseen circumstances:

You will be offered an alternative date, or

You will receive a full refund of fees paid (excluding already delivered services).

We are not responsible for travel costs, staff cover, or any other associated losses.

5. Client Responsibilities

Clients agree to:

  • Provide accurate booking information
  • Ensure staff attend on time
  • Provide required access/equipment for training
  • Maintain a safe and respectful environment
     

6.Delivery Requirements

For in-person training, the client agrees to provide:

  • A suitable, safe training room
  • Screen/projector and sound if required
  • Seating arranged appropriately
  • Access to the venue (parking, reception, security)  

For online training, the client agrees to:

  • Provide a working meeting link (Teams, Zoom, etc.)
  • Allow screen sharing
  • Ensure participants have access to cameras/microphones
  • Ensure safeguarding of online spaces


7. Conduct and Safe Learning Environment


The client must ensure a respectful, psychologically safe environment.
We reserve the right to end a session early if behaviour compromises:

  • Safety
  • Respect
  • Confidentiality
  • Professional standards

No refunds will be issued in such cases. 


8. Limitation of Liability

Writing to the Child™ is not responsible for:

Case decisions made by your organisation  

Outcomes relating to safeguarding or practice  

Misuse of training materials  

Any indirect, consequential, or financial losses  

Our total liability is limited to the amount paid for the service.

9.Intellectual Property

 All materials — including STREAM™, ARC Sentence, CARES™, slides, handouts, and digital tools — remain the intellectual property of Writing to the Child™.Clients may not:

  • Reproduce
  • Copy
  • Modify
  • Share externally
  • Deliver or teach

any content without written permission. Materials are for internal organisational use only.

10. Confidentiality

Both parties agree to protect the confidentiality of:

  • Case examples
  • Staff information
  • Organisational details
  • Sensitive content shared during training or consultancy
     

11. Acceptance of terms and Contact Information

 By booking training, attending training, or paying an invoice, you acknowledge that you have read, understood and agreed to the terms of this Agreement. 

We may update these Terms occasionally. The version on our website at the time of booking will apply.
